Client Privacy Policy (PIPEDA)

Intent

Baxtec Mechanical Services Inc. is committed to protecting personal information of clients and other external parties in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA). This policy outlines standards for the collection, use, and disclosure of client personal information by the company.

Personal information: Information about an identifiable individual.

In accordance with PIPEDA, Baxtec Mechanical Services Inc. collects, uses, and discloses client personal information for legitimate business purposes that a reasonable person would consider appropriate in the circumstances.

This information is collected by various methods but mainly actively provided by the customer and also collected on site by our employees.

 • To provide service to the client including creating and sending proposals, making appointments, providing service and billing. 

• At times, information may be shared with a sub-contractor, supplier, or consultant for the purpose of delivering our services or proposals

• Information is kept on file for the purpose of manufacturer’s warranty and potential recalls.

• Information can be shared with a building owner or property manager for the purpose of ensuring that the building systems are operating correctly.

• Operating data or photographs of the equipment may be collected for the purposes of staff training or marketing.

Client personal information is used solely for the purpose it was collected. If it is to be used or disclosed for a reason other than which it was originally collected, the company first obtains the express consent of the person as required by law.

Disclosure

Baxtec Mechanical Services Inc. does not share this personal information with other clients or third parties except as indicated in the previous section.

Consent

Baxtec Mechanical Services Inc. obtains consent from individuals to collect, use, and disclose personal information where required by law. The way consent is obtained varies depending on the circumstances and the type of personal information collected. The company makes all reasonable efforts to obtain express consent from clients before collecting, using, or disclosing their personal information. Express consent is obtained by approving the terms and conditions of our proposals. However, in some scenarios consent is implied. This includes calling or emailing Baxtec Mechanical to place a service call or request a proposal.

Individuals have the right to withdraw their consent at any time by emailing to info@baxtec.com. Individuals are informed of the implications of withdrawing their consent at the time of their request.

Exceptions

The company ensures that employees who handle client personal information are aware of and understand the importance of maintaining the confidentiality of such information.

The company retains personal information only for the duration it is needed. Once personal information is no longer required, it is destroyed promptly, safely, and securely. Where law requires that personal information be kept for a specified amount of time, the company complies with the applicable legislation.

Access to and Amending Personal Information

Clients may request access to their personal information held by the company. Written requests may be submitted to Baxtec Privacy Officer at 2470 Don Reid Drive Ottawa ON K1H 1E1. A fee may be charged to access this information. The company responds to all requests for access within 30 days. If the company denies a request for access to personal information, the company explains the reason for the refusal.

If an individual finds errors in their personal information, they may submit a request to have the company make any necessary corrections. The company updates any incorrect information as required and ensure the information is also updated by applicable third parties.
